WISS PROVIDES SOME RESOURCES (EQUIPMENT AND ROOMS) WHICH YOU CAN BOOK for use at school.
You can either:

  • Open a resource's calendar so you can view it before you book (and see all the other scheduled bookings). 
  • OR, If you just want to book directly (without opening the resource's calendar) you can do that by adding the equipment/room as a required resource when creating a new meeting



The essential thing to remember is that you cannot book directly into ANY calendar except your own (or a calendar where you have explicit rights to do so). So, you should create a new Outlook meeting and REQUEST the resource you want. The resource then checks to see if your booking is viable and sends you a meeting confirmation or rejection. If you do not receive a meeting accepted email then your booking has not been made successfully. If your request is declined the email should provide reasons why, so you can make a change to your booking, if appropriate.


These examples are from Microsoft Outlook 2021 for Windows OS. Your interface may vary.


Open a Resource's Calendar

To view any shared WISS calendar (other than your own) you must first add and open it in Outlook. You only need to add it once. Thereafter it will appear on the left-hand-side panel, in the Calendar tab (calendar icon at the bottom of the left-hand-side panel), grouped under 'Rooms':

 




Once in Microsoft Outlook and on Calendar tab, go to More commands (ellipse icon) > Add & Share > + Add > From Room List.. :


Scroll through the list to find the resource calendar you want to open. Click on the calendar name to highlight the calendar you want to open then click 'Calendar->' (or just double-click on the calendar's name) then press 'OK':



The calendar should now appear in the main panel:


You should also see it listed under 'Rooms' in the left-hand-side panel. You only need to add it once. Thereafter it will appear on the left-hand-side panel. Toggle its visibility on/off by ticking/unticking the tick-box to the left of the calendar name:


TIP: If you want to overlay any open calendar, click the left-pointing arrow to the left of the open calendar's name.


It will then overlay on top of the other open calendar. The events from each calendar will be coloured differently for ease-of-use:


To get out of overlay mode, click the right-pointing arrow to the left of the open calendar's name. 


Book a Resource

To add a booking just double-click the required slot on your OWN calendar (NOT the resource's calendar), or click the 'New Meeting' button. 


Enter your booking details then click 'Location' to select the room (or equipment) you want to book.


Double-click your selected item (or select it then click the 'Rooms' button) to add your selected room (or equipment), then click the 'OK' button to accept and close the Address Book dialogue box::


Now you can add additional attendees and resources if you like, then click 'SEND'  to email the booking request:


Upon a valid booking (within the specified booking period and when there is availability) users receive an automatic 'Accepted' or 'Declined' reply:


If you receive a 'Declined' reply it is because of one of the following reasons:

  1. You tried to book outside of typical working hours
  2. You tried to book the resource when it's not available
  3. You tried to book the resource for a longer timeframe than is possible.

Upon an accepted booking you will see the booking appear in your own calendar and the resource's calendar:




Edit or Cancel An Existing Booking 

You may only edit your OWN bookings. To edit an existing booking, open the booking in YOUR calendar (not the one on the resource's calendar), update your booking details and press 'Send Update'. 



To cancel, click 'Cancel Meeting' then 'Send Cancellation' and this will remove it from your calendar, the resource calendar as well as from the calendar of any other attendees :
