In the event the enforced campus closure continues until the end of the current academic year or the school board decides to continue online learning until the end of the current academic year, we will implement a contactless device check-up and return process. This will have two steps for ALL staff with an additional step for NON-RETURNING staff:

  1. Device Self-Check: ALL staff will be required to submit a self-check of their WISS-issued device(s). This will check the condition of your device hardware
  2. Device Remote Check: After your self-check, WISS IT Dept will do a follow-up remote check-up session. This will check the status of your device's OS software.
  3. Device Returns (NON-RETURNING staff only): staff leaving WISS employment before we are back on campus will need to arrange for delivery of their returned devices / chargers / accessories to WISS

Note: As this is a routine check on the basic status of your hardware and software, there is no scope for a full diagnostic. If you are having any issues with your device(s) you should contact techsupport@wiss.cn BEFORE your check-up.

Timeframes

Device check-ups occur during the beginning of June. It is compulsory for everyone who has been issued a school device to have it checked up during that time. This gives time for issues to be resolved and for non-returning staff to get their HR Leaving / Exit form signed in time to receive their final salary.

Device Self-Check Timeframe

You can submit your device self-check form and upload your photographic evidence anytime during this period

June 1 - June 8th (anytime)

Device Remote Check Timeframe

After submitting your self-check form, email the WISS IT Department (techsupport@wiss.cn) to arrange the remote check. You may choose ONE of the following 4 time blocks and IT will assign you an available 15-minute timeslot during that block:

  • Thursday 2nd June 7am to 2pm
  • Monday 6th June  2pm to 9pm
  • Tuesday 7th June 7am to 2pm
  • Thursday 9th June 2pm to 9pm

If you are a NON-RETURNING staff member you may schedule the remote check anytime BEFORE you leave, but AFTER you have completed the Device Self-Check process.  If non-returning staff are leaving earlier than the end of the academic year they should contact their building principal (or Senior leadership Team slt@wiss.cn) and IT Department (techsupport@wiss.cn) ASAP to arrange a check-up.

As the remote checks will take longer, we will need around 15 minutes per remote session.

Device Check Processes

Device Self-Check Process

ALL staff will be asked to complete a WISS-issued device self-check form then upload the following evidence: clear sharp photos of the front, back and all 4 sides of EACH device and a photo of each accessory (including the charger), A photo of the system information (winOS: Settings > System > About | macOS: Apple menu > About this Mac > Overview).

In this WISS SharePoint folder Contactless Check-ups and Returns staff should create a subfolder, renamed with their FULL NAME. All evidence should be uploaded to that sub-folder.

ALL staff must fill in the WISS IT: Contactless Device Check-up and Return Form

Device Remote Check Process

After completing your self-check, email the WISS IT Department at techsupport@wiss.cn to let them know you have completed the form, uploaded the evidence and are ready to perform the remote check during your selected time block (see Device Remote Check Timeframe section for details). After contacting IT you will be given further instructions.

Device Returns Process (NON-RETURNING staff ONLY)

In addition, staff leaving WISS employment before we are back on campus will need to arrange for delivery of their returned devices / chargers / accessories to WISS.

The Contactless Device Check-up and Return Form should be completed before returning devices.

NON-RETURNING staff must provide:

  • a  clear, sharp photo of themselves with the device(s) and WISS staff member who will return them to WISS,
  • OR a photo of themselves with the device(s) safely wrapped and a WISS guard at the WISS Guardhouse (there will be guards available all day, every day). Please clearly label the package to IT Department, room A2.01
  • OR the package for the courier showing the delivery label. Please clearly label the package to IT Department, room A2.01. Please note you may have trouble arranging a courier during this time, your device may incur damage during transit and fees may be higher than usual. For these reasons please only use a courier as a last resort and if possible insure your package. On your Device Check-up and Return form, please also provide the tracking number,  name and contact details of the courier service.

Upload the additional evidential photo to your named subfolder inside the WISS SharePoint folder Contactless Check-ups and Returns.

Before returning the device(s) staff should make sure they have safely copied off any documents they wish to retain. Staff should also have already worked with their line manager to hand over any necessary work-related documents by copying them onto the relevant SharePoint site (not their personal OneDrive as this will be deleted along with their account) or handing them over on a USB to the relevant remaining WISS staff. Leaving staffs' WISS account will be closed during the summer period, so they should not expect to have access to it after the last day of the current academic year.
