Device Check-Up Process - ALL Staff

WISS IT Team will conduct device check-ups for all staff members in early June. All staff with WISS-issued devices, such as laptops and iPads, must have them checked during one of the two scheduled check-up sessions (details sent by email). If you cannot attend one of those sessions, you should arrange an individual check-up session with IT and complete it on or before the date of the second (and final) scheduled check-up session.

IT will verify the presence of your assigned device(s) and their functional status. It will take around 5-10 minutes per person. Expect to be working with IT during this time, that your data will remain intact, and to have your device(s) returned to you at the end of the check-up.

  1.  IT will be available at the check-up locations during the times, and dates indicated
  2. BEFORE coming, please make sure you have completed the following:
    1. Cleared all your documents off the computer desktop and stored them securely in your OneDrive and/or an external storage device.
    2. Run any updates on your device (Windows button > Settings > Update & Security)
    3. Notified IT of any hardware or software issues on this device. Please don't leave this until your check-up. We have many devices to check and only 5-10 minutes (max) per person. Always notify IT of any issues that you cannot resolve yourself.
  3. Bring your devices and accessories (such as chargers and cables) to the check-up. You cannot pass the check-up without these.
  4. If applicable, bring your iPad and its charging cable and plug (don't bring iPad class sets - only bring an iPad assigned for your individual use.
  5. Login to the device and show IT that everything is functioning.
  6. Walk away with your device(s) again once checked.

Device Return Process - NON-RETURNING Staff Only

Leaving staff need signatures on their HR leaving/exit form from several departments, including IT, before their final salary is released, so we provide additional flexibility for them. The Director of Technology can only sign the exit form after you have successfully completed your device check-up. So, it is especially important for you to attend one of the Secondary building check-up sessions or drop into IT Support A2.1 for your check-up on or before the date of device check-up session #2.

If you would like to do the device check-up AND device return at the same time during your check-up, that is also fine, as long as it's on or before the date of device check-up session #2. Otherwise, you will need to do the check-up and return separately. The latest possible device return date is the day BEFORE the last working day (as early in the day as possible). We can provide a loaner laptop to leaving staff who want to return their devices earlier yet need a laptop to continue working.

Device Return Process (5 minutes per person)

This is a much simpler and quicker process than the check-ups. Expect to bring your laptop, charger, mouse, stylus and any iPads (and accessories such as plugs and cables) assigned to you and leave without them.

  1. IT will check-in your device(s) and accessories.
  2. If it has not already been done, the Director of Technology will sign your leaving sheet from HR after the device(s) and accessories have been returned.
  3. Expect to leave without your devices and accessories.

Before returning your device, you should have already worked with your line manager to hand over any necessary work-related documents by copying them onto the relevant SharePoint site (not your OneDrive, as this will be deleted along with your account) or handing them over on a USB to the relevant remaining WISS staff.

Your WISS account will be closed during the summer period. As we cannot guarantee when this will happen, we advise you not to expect to have access after the last day of school and prepare accordingly. For example, if you have used your work account for personal correspondence (especially things like your relocation company or your new employer), ensure you provide those people with your PERSONAL email address before your last working day.
